How to write business process names in Workday

Business Process Names

Like Task Naming, these guidelines aim to help writers, UX designers, PMs, and developers create consistent business process (BP) names that customers can find easily in Workday. We’re not suggesting you need to rename existing business processes but to consider these questions when you’re naming new ones:

  • What is the purpose of your BP? What might your users expect the business process to be called?
  • Can you use a verb and the imperative voice? Example: Print Checks.
  • Are there any other BPs in your product vertical, and what terminology and language do they use? We recommend that you use the terminology our customers are most familiar with, to be consistent with what’s already in the product.
  • If your product vertical is new, think towards the future when naming your BP. Also, do a search to ensure there are no other BPs with the same name.
  • Are there keywords that you can use that will help customers find this BP?
  • Are you using language that is too technical for your audience? Can you use simpler, everyday words?

Integration business processes must have Event appended to their name. Example: Purchase Order Issue Event.

Business Process Descriptions

Provide a high-level description of what the business process does and mention any limitations, if applicable. For each initiating action in the business process security policy, provide a high-level description of what the initiating action does. When relevant and to distinguish between similar initiating actions, mention how to access or run the initiating action. For example:

  • Initiating Action: Individual Goals
  • Description: Enables workers to add or edit goals on a single page. Available as a button on the My Goals and View Goals reports on their worker profile.

Don’t just repeat the business process name or initiating action name.

You can view some existing BPs and their descriptions by accessing these reports in a Workday tenant:

  • Default Business Processes
  • View All Business Process Type Configurations

Note: You’ll find some inconsistencies within the existing descriptions. It’s our goal to try to standardize our descriptions for all new business processes that we create going forward.

Start your process descriptions using the third-person singular verb form. For example:

  • Creates
  • Enables
  • Ends
  • Initiates
  • Manages
  • Reports
  • Routes
  • Submits
Do
  • Creates accounting adjustments for paid supplier invoices, supplier invoice adjustment, expense report, and procurement card verification.
  • Enables workers to change their own time off entry values in Workday.
  • Enables workers to change time off entry values on behalf of another worker in Workday.
  • Enables workers to add or edit goals on a single page. Available as a button on the My Goals and View Goals reports on their worker profile.
  • Enables workers to create goals on a single page. Available as a button on the View Goals for Worker report and in global search.
  • Ends an employee’s relationship with the enterprise, including voluntary and involuntary terminations.
  • Initiates the Correct Time Off business process to remove approved time off entries after the worker’s termination date.
  • Initiates the Manage Committee Membership business process.
  • Sets employee career interests to indicate interests in a specific category of growth. Managers or talent management processes can use this data to identify the career goals and leadership and responsibility aspirations of employees.
  • Routes student requests for approval of academic plans to an advisor on their student academic records.
